Ooma AirDial Elevates POTS Replacement for Large Organizations

Ooma AirDial Elevates POTS Replacement for Large Organizations

By Erik Linask

The POTS network, once the bedrock of global communications, is rapidly fading into obsolescence.  Many would say it’s already there, considering telecom carriers are actively decommissioning aging copper infrastructure and many businesses face an urgent imperative to migrate to modern alternatives.

But, that’s where the argument that POTS is already obsolete falls short – millions of mission-critical applications still rely on POTS lines.  Depending on whose data you see, the figure may be as low as 10 million or as high as 40 million.  Many of these lingering POTS lines are tethered to systems where reliability and regulatory compliance are critical, or where transitioning to VoIP has been difficult.  These include essential use cases like:

  • Fire alarm panels:  Critical for life safety, often requiring dedicated, always-on lines for communication with central monitoring stations.  VoIP's reliance on power and internet can introduce vulnerabilities.
  • Elevator emergency phones:  Mandated for safety, these require reliable connectivity, even (or perhaps especially) during power outages, a feature inherently provided by POTS lines’ self-powered nature.
  • Building entry systems:  For security and access control, these also need consistent, reliable communication.
  • Fax machines:  Despite digital alternatives, many industries, particularly healthcare and legal, still rely on fax for secure document transmission, which can be sensitive to VoIP's signal compression.
  • POS systems and utility meters:  Some legacy systems still depend on analog lines for data transmission.

IP migration challenges often stem from signal integrity issues over VoIP, lack of power redundancy in typical IP solutions, and the need to maintain compliance with codes like NFPA 72 for fire alarms – a complex environment that necessitates specialized, robust POTS replacement solutions.

Ooma, which just announced significant enhancements to the remote management capabilities in it Ooma AirDial solution, overcomes many of these challenges, thanks to several key features specifically designed to create a flexible and easy migration path.

  • Compatibility with legacy equipment:  AirDial includes RJ-11 analog FXS ports that mimic the characteristics of a traditional POTS line.  This allows existing legacy equipment to connect directly to the AirDial unit and function as if it were still on a copper line, eliminating the need for expensive and complex equipment replacement.
  • MultiPath technology:  Ooma AirDial can leverage two simultaneous connections, such as LTE wireless and wired Ethernet, providing superior network redundancy and failover capabilities.  If one connection fails, the other takes over seamlessly, ensuring communications service isn’t interrupted.
  • Battery backup:  AirDial units include a replaceable battery pack that provides at least eight hours of standby time during power outages, maintaining critical service.
  • Managed wireless network:  AirDial often operates on a dedicated wireless network, which is more secure and reliable than unmanaged public internet connections, and helps meet compliance standards.
  • Indeed, Ooma has been certified by authorities like the FDNY, and is compliant with UL, NFPA 72, ASME A17.1B, PCI, and HIPAA regulations, as applicable.  It also utilizes an MFVN-compliant design to keep critical traffic off the public internet for enhanced security and compliance.

But, that’s not all.  Managing large numbers of POTS lines  across locations can be a logistical headache.  To help alleviate that burden, Ooma has introduced new remote management features specifically designed to make it easier for large and distributed organizations to efficiently manage thousands of POTS replacement lines across hundreds of locations.

Ooma’s Remote Device Management (RDM) features are accessed through an online portal, which significantly accelerates setup and enables centralized tracking of all AirDial lines across distributed sites without the need for costly on-site support staff.  New RDM features, tailored for scalability of POTS replacement projects –  whether managed by in-house IT teams or MSP partners – include:

  • Single sign-on (SSO):  Partners and customers can now authenticate through their preferred Identity Provider, streamlining access and eliminating separate credential management.
  • Bulk Add Devices:  Administrators can activate and configure multiple devices simultaneously by uploading a CSV file, vastly improving deployment efficiency.
  • Expiring access to RDM:  New accounts can be created with time-limited access, ideal for granting temporary access to third-party technicians during installation.
  • Number porting status:  A dedicated porting tab now provides real-time updates on porting orders, including request, proposed, and confirmed completion dates.
  • Mobile optimization:  RDM has been optimized for mobile access, offering a smoother and more efficient experience on smartphones and tablets, a crucial benefit for field technicians.

These new capabilities build upon existing RDM features important for large-scale deployments, such as parent/child accounts for hierarchical management, customizable call alerts (SMS/email) for events like emergency calls or low battery, an “insights view” for a consolidated status summary of all managed AirDial units, API Integration for seamless workflow automation with existing monitoring tools, and roles-based access for granular control over user permissions.

“Remote Device Management in Ooma AirDial makes it possible for us to efficiently and effectively manage more than 1,000 POTS replacement lines spread across multiple customers,” said Ray Richeson, president of technology support and implementation at Inverse Technology Solutions, an MSP.  "I particularly appreciate the robust alerts for events such as emergency calls, low battery, connection outages and devices coming back online.  With RDM, there are no surprises and I always know my customers are getting the high-quality service they deserve.”

As the POTS sunset continues, Ooma AirDial's enhanced remote management capabilities position it as a critical solution for organizations seeking a reliable, compliant, and scalable pathway to modernize their mission-critical analog communications – regardless of whether they have a few lines or several thousand.  By providing a single-vendor, purpose-built solution that prioritizes reliability, ensures compatibility with legacy analog equipment, and a range of remote management capabilities, Ooma AirDial directly addresses the core reasons why these essential use cases have lagged in migrating from POTS, offering a compliant, scalable, and worry-free transition.
